Welcome to Dockwin. This Import & Export Service Policy explains how our import, export, sourcing, documentation, logistics coordination and related global trade support services are provided.

By submitting an enquiry, requesting a quotation, confirming an order, sharing documents, making payment or using our import/export services, you agree to the terms mentioned in this policy.

  1. About Dockwin Import & Export Services

Dockwin provides import and export support services to help businesses source, move and manage goods across domestic and international markets. Our services may include:

  • Global product sourcing
  • Supplier/vendor coordination
  • Import and export consultation
  • Product category guidance
  • Documentation support
  • Shipment coordination
  • Customs and compliance coordination
  • International logistics support
  • Product inspection coordination, where applicable
  • Bulk order and B2B trade support

The exact scope of service will be based on the quotation, proposal, invoice, purchase order, email confirmation or service agreement shared with the client.

  1. Client Responsibility

The client is responsible for providing accurate, complete and valid information required for import/export work, including but not limited to:

  • Business name and contact details
  • IEC, GST, PAN and other business registration details, where applicable
  • Product description and technical specifications
  • Quantity, packaging and labelling requirements
  • Destination country and delivery location
  • Required certifications, licences or permissions
  • Payment details and billing information
  • Any special compliance requirement related to the product or destination country

Dockwin will not be responsible for delays, penalties, shipment holds, rejection or additional costs caused by incorrect, incomplete, expired or misleading information provided by the client.

  1. Regulatory Compliance

Import and export activities are subject to applicable laws, customs rules, foreign trade policies, product-specific regulations and destination-country requirements.

The client is responsible for ensuring that the goods requested for import/export are legally permitted and compliant with applicable laws. Some products may require licences, certificates, testing reports, labelling approvals, inspection clearances, food safety approvals, BIS certification, phytosanitary certification, country-of-origin documents or other regulatory permissions.

Dockwin may assist with documentation and coordination, but final approval depends on relevant government departments, customs authorities, port authorities, shipping companies, inspection agencies, sellers, buyers and other third-party bodies.

  1. Restricted and Prohibited Goods

Dockwin does not support illegal, prohibited or restricted trade activity. We reserve the right to refuse service for any product, buyer, seller, shipment or transaction that may violate applicable law, trade restrictions, customs rules, sanctions, safety standards or ethical business practices.

The client must disclose the true nature, value, origin, usage and classification of goods. Any attempt to misdeclare goods, undervalue invoices, hide restricted items or bypass compliance requirements will result in immediate service termination without refund.

  1. Product Sourcing and Supplier Coordination

Dockwin may help identify suppliers, manufacturers, exporters, importers or trading partners based on the client’s requirement. However, unless specifically agreed in writing, Dockwin does not guarantee:

  • Final product availability
  • Supplier pricing stability
  • Supplier production capacity
  • Product acceptance by the destination country
  • Exact delivery timeline
  • Marketplace demand or resale performance
  • Profit margin or business outcome

Supplier quotations, product specifications, packaging details and delivery timelines may change due to raw material costs, availability, currency fluctuation, government policy, seasonal demand, production limitations or logistics conditions.

  1. Product Quality and Inspection

Dockwin may coordinate product samples, pre-shipment inspection or quality-check arrangements if requested and agreed in writing. Inspection charges, sample charges, courier charges and third-party agency fees will be borne by the client unless otherwise mentioned.

Dockwin is not the manufacturer of third-party goods and shall not be liable for manufacturing defects, product misuse, improper storage, damage after dispatch, destination-market rejection or product performance issues unless such liability is expressly accepted in writing.

  1. Pricing, Duties, Taxes and Additional Charges

All prices, quotations and estimates are subject to change unless confirmed in writing. Import/export pricing may include or exclude different cost heads depending on the agreed Incoterms or commercial arrangement.

Additional charges may include:

  • Customs duty
  • GST or other applicable taxes
  • Port charges
  • Freight charges
  • Insurance charges
  • Warehousing charges
  • Inspection charges
  • Documentation charges
  • Bank charges
  • Currency conversion charges
  • Packaging charges
  • Local transport charges
  • Penalty, demurrage or detention charges
  • Destination-country duties and fees

Unless clearly mentioned otherwise, all government duties, taxes, third-party fees and destination charges are payable by the client.

  1. Payment Terms

Payment terms will be mentioned in the quotation, invoice, proposal or service agreement. Work will begin only after receiving the required advance, confirmation amount or full payment as applicable.

Dockwin may pause sourcing, documentation, shipment coordination or delivery support if payment is delayed. Any cost increase due to payment delay, exchange-rate change, supplier price revision or shipment delay shall be borne by the client.

  1. Shipment and Delivery Timeline

Shipping timelines are estimates and may vary due to:

  • Customs clearance delay
  • Port congestion
  • Weather conditions
  • Supplier delay
  • Vessel or flight delay
  • Documentation mismatch
  • Regulatory inspection
  • Government restrictions
  • Logistics partner delay
  • Force majeure events
  • Payment or approval delay from client side

Dockwin will make reasonable efforts to coordinate timely execution but does not guarantee exact delivery dates unless explicitly agreed in writing.

  1. Customs Clearance and Documentation

Dockwin may assist in preparing, collecting or coordinating documents such as commercial invoice, packing list, bill of lading, airway bill, certificate of origin, test reports, insurance documents and other required papers.

However, the client is responsible for verifying the accuracy of all documents before final submission. Dockwin shall not be liable for penalties, delays, rejection or seizure caused by incorrect documents, misdeclaration, missing certificates, restricted goods or non-compliance with applicable laws.

  1. Risk, Insurance and Damage

Risk transfer will depend on the agreed shipment terms, commercial invoice, purchase order or Incoterms. The client is advised to purchase suitable cargo insurance for all shipments.

Dockwin shall not be responsible for loss, theft, damage, leakage, breakage, shortage or delay during transit where the matter is under the control of shipping companies, freight forwarders, courier companies, customs authorities, warehouse operators or other third-party service providers.

Any claim for damage or shortage must be reported immediately with photographs, videos, unpacking proof, shipment documents and delivery remarks.

  1. Cancellation of Import/Export Orders

Once sourcing, supplier confirmation, documentation, production, booking, inspection or shipment activity has started, cancellation may not be possible. If cancellation is accepted, deductions may apply for work completed, third-party costs, supplier charges, documentation charges, logistics charges, bank charges and administrative expenses.

Advance payments, consultation fees, sourcing fees, documentation fees and third-party charges are generally non-refundable once work has started.

  1. Confidentiality

Dockwin respects client confidentiality. Business documents, supplier details, buyer information, pricing information and trade documents shared with us will be handled responsibly and used only for service execution, communication, compliance, record keeping and business support purposes.

  1. Limitation of Liability

Dockwin’s role is limited to the services agreed in writing. We shall not be liable for indirect loss, loss of profit, business interruption, market loss, customs action, product rejection, third-party delay, supplier default, buyer default or regulatory changes.

Our maximum liability, if any, shall not exceed the service fee paid to Dockwin for the specific service giving rise to the claim, excluding government charges, duties, taxes, freight, supplier payments and third-party costs.
